Transitioning to Current RMS from another solution? If you can export data from your previous software, you should be able to use this as a basis for an import to Current RMS.
Importing from another solution is generally a four step process:
Export from your old solution
Cleanse the data
Prep for Current RMS
Save and import
Export from your old solution
Look for an option to export data from your previous solution. This may be in reports or in your settings screen. It may be called “save data,” “run a query,” or “export”.
You’ll want to export to a spreadsheet, ideally CSV but spreadsheet apps can save to CSV at a later point if this isn’t an option.
Cleanse data
Once you’ve exported data, it’s time to cleanse the data.
It’s likely that your files will have customers that you no longer do business with, products that you no longer rent or sell, and other data that you don’t wish to retain. Run through your spreadsheets and delete any that you don’t need.
Depending on how your old solution stores data, you might also find that some data isn’t where it should be. For example, some legacy solutions don’t have options for notes so staff might pop notes into address fields. Current RMS will validate the information you import, so it’s important to make sure it’s all right.
Prep for Current RMS
After cleansing, you’ll want to make sure that your spreadsheet is in a format that Current RMS can interpret.
Import templates
You can grab copies of example import templates and check how they should be formatted in our guides, see: Example import files
We recommend working from two copies of files – your existing files and the new ones that you’re prepping for Current RMS. This way you always have a copy of your original data to hand.
Match column headings
Our import templates have certain column headings on them and the import process is much easier if you match those.
We’d generally recommend creating a few records in Current RMS first, then heading to System Setup > Export Data and grabbing CSV files. This will give you a good feel for how data you’ve inputted to Current RMS will appear on import templates.
From here, copy and paste information from your old spreadsheets to your new ones.
ID column
The ID is Current’s internal reference for a record. When adding new entries, leave the ID column blank.
Save and import
When your file is ready, save your spreadsheet as a CSV file and head to System Setup > Import Data to import to Current RMS.
The import tool will attempt to match column headings. Match any columns that weren’t mapped so all the data you wish to import is green.
Hit Upload and you’ll receive an email that lets you know the status of the import after a few moments. If there’s any problems, Current will let you know exactly which row caused a problem and how to fix it.
