Import and export data

Use CSV spreadsheets to create data en masse and extract data from your system.

Updated over a week ago

If you’ve got a large amount of data to create, rather than creating each record individually using the web interface, you might find it easier to create data all at once using our import data tool.

With our import data tool, you can put all of your data on spreadsheets and upload them to the system to create records. This is especially handy if you’re migrating to OnRent Events from another rental management solution and can export data from it. You can also rely on templates provided by OnRent Events to match the correct data structure. These templates can be downloaded from System Setup > Export Data, ensuring your spreadsheets are correctly formatted before import.

You also have the option to export data from OnRent Events, meaning you can easily pull off spreadsheets of key records for your reference, or even to update en masse. Templates exported from the system include fields for existing products, which can streamline updates or new entries when re-importing data.

What kind of data can I import and export?

You can import and export:

  • Contact

  • Organization

  • Venue

  • Vehicle

  • Product group

  • Product

  • Accessory

  • Rate

  • Stock level

  • Serialized component

Get started

Importing data is a process that you want to get right – after all, your rental management solution is the most important software for running your business. With that in mind, we’ve got a section dedicated to importing data. See: Ensure that data accuracy in your spreadsheets aligns with OnRent Events standards, as inaccurate data can lead to discrepancies in records created or updated.

Handling Quarantine Lists

Items marked as faulty or "quarantined" in OnRent Events cannot be bulk imported. These updates involve live data adjustments, ensuring accuracy in tracking and managing quarantined items. They must be manually handled on an individual basis.

Understanding Import Template Fields

The Bulk Quantity Store field in import templates represents the bulk stock level for a specific store. If this data is unavailable, the column can be left blank to skip updating this information in your import.
