Why can’t I add products to an opportunity?

If you can’t find an item using the picker or ‘add new opportunity item’ link, then you may not have set up all of the required fields. Check the list below to rectify this problem:

Is the product active?

Marking a product as inactive is a good way to keep your OnRent Events system clutter-free. By marking products that you no longer rent or sell as inactive, you make them unavailable for adding to opportunities. If an item is inactive, it will not appear in the picker.

To make a product active, go to the product’s page, click the edit button (the pencil icon) at the top of the page, and toggle the active slider to ‘yes’.

Is the product marked as ‘accessory only’?

In OnRent Events, not only can you add items to other items as accessories so those are always added to opportunities, but you can also mark items as ‘accessory only’ to tell the system that those items only ever go out with another piece of kit. Setting an item as ‘accessory only’ will hide it in the main product picker.

To change this, go to the product’s page, click the edit button (the pencil icon) at the top of the page, and toggle the ‘accessory only’ slider to ‘no’.

Does the product have a valid rate?

In order to add a product to an opportunity, it needs to have a rate set against it. If you don’t charge for an item, you’ll need to tell your OnRent Events system this by adding a rate of 0.00 to your item. Products without a rate won’t show up in the picker.

To add a rate, go to the product’s page and click ‘add a new rate’ under the ‘Rates’ section. If you rent and sell the item, don’t forget to add an item for each type.

Are you searching for the correct transaction type?

To keep things simple and make sure that you don’t inadvertently add the incorrect type of stock to an opportunity, the picker doesn’t return rental and sale items in the same view. If you’re searching for an item with an allowed stock type of ‘sale’, make sure you change the transaction type to ‘sale’ when you’re searching.
