Add services to an opportunity

In addition to products that you rent and sell, add services to your opportunities for things like labor, transport, and venue bookings.

Along with products, i.e., goods that you deliver to your customer, you might also supply services. Some services you supply might include:

  • delivery or pickup

  • crew members to set up or operate the kit

  • consultancy or event planning

With services, you can specify the dates and times you're offering a service and choose how you'd like to charge for it. 

You can add services to drafts, quotations, and orders. At the order stage of an opportunity, you can assign people, vehicles, and venues to services.

Before you begin

Make sure you've added some services to your Current RMS system and set up bookable resources for these. See: Create services for labor and transport

Add a service to an opportunity

To get started, click the "Add a New Opportunity" item link at the bottom right of the items list, or use the Picker.

On the Add New Opportunity item screen, start typing the name of your service in the name box at the top. As you type, the system will auto-suggest a list of your products and services.

When you select a service, the transaction type is automatically set to 'Service'. Enter a description if you like; this will appear under services in the items list on your opportunity and on any documents you print.

Dates and charging

Underneath this, you can change the date and charging details. 

Start & end dates

The start and end dates of your services will default to the opportunity's start and end dates. Change these as you wish by clicking in the start & end date boxes. 

Extended Scheduler for Services

With the extended scheduler for services, you can schedule your service dates to fall outside the start and end dates of the opportunity. This would be great if you have event planners, lighting designers, or other staff who might work on an opportunity before products begin to be prepped. You will need to enable the extended scheduler for your services in System Setup> Preferences> Opportunity Settings and toggle the "Extended Service Item Schedule" slider to "YES".

The schedule will pull the start and end dates of the opportunity by default. You will need to change this so you can use dates that fall outside the opportunity's start and end date.

Rate type and price

The rate type and price will default to the first rate assigned to the service with a price in the order day, hour, distance, and flat rate. To change your rate type or price, use the drop-down menu.

The rate quantity will automatically update based on the start & end date you've chosen and the rate type selected. For example, a start & end date of 2x days will automatically update the rate quantity to 2 when the type is set to day, and 48 when set to hours.

Set your rate, quantity, and price by editing the fields. You can set a percentage discount here, as you wish.

Create an item for each day

If the start and end date for your service is more than one day, a new option appears that allows you to create a new item for each day. 

When this slider is set to YES, Current will create a line on the opportunity for each day of the service. This gives you the flexibility to break down charging by day on your quotations & invoices, as well as letting you allocate different people or vehicles for different days.

The rate quantity is automatically updated to reflect a value per day that will be used when creating each item.

Sub-contract a service

Toggle the sub-contract service slider to YES to say that this service will be performed by a third party as opposed to one of the bookable resources you have set up. We've got a guide that runs through this in more detail, see: Sub-contract a service

Click create opportunity item to add the service you have configured or create and add another to add & return to the same screen to add more services. 

Work with services in the items list

Services added to an opportunity are automatically grouped together under their service type heading. 

To add more service types to your Current RMS system, go to System Setup > List of values. Check out our guide: Add new service types to your system.

Customize the items list as you wish; change quantities, prices, chargeable days, and discounts inline, and drag items out of their groups and into new ones. See: Customize the items list

Hover over a service charge total to get a breakdown of how the service charge was calculated.

Services on document layouts

For most documents, the changes you make to the opportunity items list should be reflected in any document layouts generated by your Current RMS system. Current comes with a variety of document layouts that display your services in different ways. Most of our layouts break down the quantity and rate period, along with the price and total for your customer. 

Add new services directly under a group

For more bespoke opportunities, you might want to create your opportunity groups first and then add services directly to these groups. For example, if you’re quoting for a conference with multiple rooms, you may wish to create groups for each room, then drop items directly into those groups.

To add items directly to opportunity groups that are already created, click the blue arrow to the right of a group and select add item. The process to add items using is the same as above.

Set default dates for services added to a group

Speed up the process of adding services by setting default service dates on your opportunity group. When you've set these dates, the dates of any services added the group will default to these dates.

To add default service dates, edit the group by clicking the blue arrow to the right and choosing edit from the menu. Specify the default service dates in the start & end date fields.

Already specified when you're delivering or prepping in the opportunity scheduler? Copy those dates to the group using the copy from scheduler button.

Edit a service item

Make changes inline

The simplest way to edit a service is to click on any of the fields you see in the opportunity order view. Change quantity, price, and discount inline by clicking on them. Changes to the charge total are calculated immediately.  See: Customize the items list

To edit a service item in more detail, click the blue arrow to the right of it and choose edit from the menu. On the edit screen, make changes to the quantity, description, dates, and charging details.

At the draft or quotation stage, use the sub-rent stock toggle to make this a sub-rent product. See: Sub-rent a product

Add or modify allocations

If your opportunity is at the order stage, add and modify allocations in the Resource Allocations section. This is an advanced way to set your resource bookings, especially handy for cases when you will need to have a mix of sub-contract services and your resources.

Common questions

Can I add one-off services?

You can, those are called "text items". Use the add new opportunity item screen and choose the text item radio button at the top. We run through that in another guide, see: Add text items.

Why don't services show up in the picker?

The product picker is great for adding products to an opportunity at speed. However, when you're adding services you'll often need to specify more detail about a particular service line such as how you're charging and the start & end date of the service. The picker isn't optimized for this.

The system is telling me that I have a shortage. Why is this?

Obviously, services aren't quite the same as products in that you don't have your people lined up in the warehouse waiting to be picked for jobs! However, you can add a list of your people, vehicles, and venues to Current RMS and use the Resource Planner to track which resources are available. 

If you don't have people, vehicles, or venues available for a service, turn off availability tracking for it by editing the service and toggling Track Shortages to NO.
