What is the document modification service?

The document modification process allows you to update and customise your documents within your system. Our team will review your request, scopes the changes, and tests feasibility.

What can I change within my documents?

  1. Layout Adjustments – Change margins, spacing, font sizes, and overall formatting for a cleaner look.

  2. Branding Updates – Add your company logo, adjust colours, and refine styling to match your brand.

  3. Custom Fields – Include your custom fields into the documents.

  4. Logic Adjustments – Modify conditional formatting, such as hiding certain sections unless specific criteria are met.

  5. New Sections – New columns, terms & conditions and more!

Pricing:

Hourly rates:

GB - £99 + VAT per hour
SA - 2300 Rand per hour
USA - $130 per hour
EUR - 120 Euros per hour
AUD - 195 AUD per hour

We apply a minimum charge of one hour for all document modification requests. This initial hour covers the time required for our team to:

  • Review and scope your request in detail.

  • Assess the feasibility of the changes you're looking for.

  • Conduct any necessary testing to confirm if the request is possible within the system.

Quotation and Time Estimate

Following the initial assessment, if further development time is required, we will provide you with:

  • A detailed quote outlining the number of hours required and the costs to complete the request.

  • An estimated turnaround time for delivering the modifications.

This ensures you have full visibility into the process before any additional charges are incurred. If the changes are small and can be done within the first scoping hour then no further charges will be required.

How does it work?

To ensure a smooth and efficient experience, we follow a clear process for all document modification requests. Here’s how it works:

1. Submit Your Request

To begin, please submit a document modification request using the provided form.
Include the following files with your request:

  • The .txt file of the document you'd like us to modify (this can be found in System Setup > Document Layouts > Blue Arrow > Export). If you do not have the option to export this file then it means it is a system default and so we won’t require you to send this over.

  • An annotated PDF copy of the document, or a detailed written description outlining the changes you'd like made.

2. Identifying Scope & Confirmation

Our team will review your request and reach out to confirm the details, clarify any questions, and provide an estimated turnaround time based on the scope of work.

3. Quotation Provided

Once the request is fully understood, we will provide a quote outlining the expected cost for the work required.

4. Approval & Payment

If you're happy with the quote, we will request payment before proceeding. Upon receipt of payment, our team will begin the modification work.

5. Document Development & Testing

We aim to complete all document modifications within six weeks, although this can vary depending on the size of the request. During this period, we will:

  • Create the document based on your request

  • Conduct thorough testing to ensure the document functions correctly

6. Delivery & Final Review

Once the modifications are complete, we will send the updated document to you for review. At this stage:

  • You can confirm that the agreed-upon changes have been made

  • We can make one round of minor amendments

  • If further significant changes are requested outside the original scope, this will require a new document request to be submitted in order for us to review and scope for this

What we need from you

To help us process your document modification request as efficiently and accurately as possible, we kindly ask that you provide the following information when submitting your request:

  • The document .txt file exported from your Current RMS system.

You can locate this by navigating to: System Setup > Document Layouts > Blue Arrow > Export. This file allows us to access the document you wish to modify.

  • A clear outline of the changes you require, provided in one of the following formats:

    • A description detailing the exact modifications you would like us to make (e.g., layout adjustments, new fields, branding updates, logic, etc.)

    • An annotated PDF of the document with notes, comments, or highlights indicating the specific areas that need to be changed

Amendments

Once we have delivered the completed document modifications, you will have a review period to assess the changes and provide one amendment request.

During this time, we are happy to accommodate minor alterations—such as colour changes, spacing refinements, or small layout tweaks—at no additional cost.

If, however, your feedback includes larger modifications that fall outside the scope of the original request (e.g., structural changes, additional functionality, or new sections), we will request that you submit a new document modification request to ensure the new requirements are properly scoped and delivered.

Configurable documents

We cannot make changes to the code within a configurable document. These are documents that you can modify without the need of code by using tick boxes and text boxes to add and remove details. They can be found within System Setup > Document Layouts > search for configurable.

How to identify if it is a configurable document?

1. It will state in the document name “(Configurable)”

2. You will have a range of tick and text boxes when you edit the document (See below for example)
