Auto-populate opportunity item descriptions

This guide shows you how to automatically add product descriptions to opportunity items.

When to use this

  • You want to speed up opportunity creation by avoiding duplicate data entry.

  • You regularly copy product descriptions into opportunity items.

  • You want consistent descriptions across opportunities and your product inventory.

Before you begin

  • You need to be an Administrator on the system.

  • You need access to System Preferences.

  • Products must already have descriptions set.

Set-up:

This is how you turn on the auto-population setting in the settings.

  1. Go to System Set-up and select System Preferences.

  2. Find Auto-populate Opportunity Item Descriptions from Product Description.

  3. Set the slider to Yes.

  4. Scroll down to the bottom and select Save.

How does this work?

  • When an opportunity item is added, its Description field automatically populates with the Product’s Description.

  • The Description field can be editable after being populated.

  • If any attempts to edit the Description, then a warning prompt will show that existing item descriptions will be overwritten on next save.

  • After editing an item, or the Opportunity is recalculated the Description changes.

What happens if I turn it off?

  • If you want to turn off the auto-population, then follow the set-up settings and set the slider to the Off position.

  • A warning will come up stating that the pre‑existing descriptions will be removed and replaced.

  • Select to Confirm you understand this and go ahead with the change or Cancel to go back to the setting.

Tips

  • This setting can help reduce manual work when building opportunities.

  • It's ideal if your product descriptions are accurate and up to date.

  • You can still override descriptions when needed for specific jobs.
