Travel Scheduler Guide

The Travel Scheduler allows you to plan, manage, and share travel details. Travel schedules help your team understand who is travelling, where they’re going, when they’ll be on the move, and allow you to sync this information with external calendars via iCal.

Get started

  1. Head to Opportunities > Travel Scheduler.

  2. Click Create travel schedule.

Enter travel details

Complete the following fields as needed:

  • Opportunity (Mandatory) - The name of the opportunity this schedule applies to ( You can apply an opportunity for each stage)

  • Contact – The primary person responsible for or travelling on this schedule.

  • Vehicle – The vehicle being used for travel.

  • Stage (Mandatory) – The current stage of travel (selectable from a list of values).

  • Start date & time (Mandatory) – When the travel begins.

  • End date & time (Mandatory) – When the travel ends.

  • Site contact – Who to speak to on arrival.

  • Address – The destination address for the travel.

  • (optional) You can add a new stage or a "Sub-schedule"

Add multiple stages to a travel schedule

A single travel schedule can include multiple stages, allowing you to represent each part of a journey—such as delivery, unload, reload, or collection—without creating separate schedules.

To add a new stage click the "Add Stage" button at the bottom of the Sub-schedule

Using multiple stages

Use multiple stages when:

  • One journey involves more than one activity

  • Different parts of the trip happen at different times

  • You want clearer visibility of each step while keeping everything in one travel schedule

Reorder stages within a travel schedule

If you need to change the order of stages after they have been created, you can easily rearrange them.

Use the up and down arrows next to each stage to move it higher or lower in the schedule. This allows you to quickly reorder stages.

Add the schedule to an external calendar

Once the travel schedule has been created you can generate and send the ical link, this allows the travel details to stay in sync within an external calendar.

When using the generate and send the Ical button this will also create a discussion for you to send the link through, the discussion thread can be found against the contact within People & Organisations.

View the travel schedule on the Opportunity

  • The travel schedule is automatically attached to the Opportunity under "Attributes"

Troubleshooting

Mandatory field error messages

If these error messages are displayed when saving a travel schedule, this usually means that one or more mandatory fields have not been completed.

To resolve this:

  • Review the Travel Scheduler form

  • Check that all required fields contain valid information

  • Update any missing details and try saving again

Once all mandatory fields are completed, the travel schedule should save successfully.
