Crew Scheduling Invite

This is an article on how to send invites to your bookable resources for service bookings.

Send approval links to your bookable resources to request services and confirm their availability for bookings. Before sending the service invite to your bookable resources, you will need to set up your Service Invite document layout for online publishing.

How do I set up my documents?

  1. Go to System Setup > Document Layouts

  2. Edit the default Service Invite document, or clone it to make desired changes

  3. Make the document active by setting the active slider to YES

  4. Enable online publishing on the document

  5. Save document

How do I send invites to my bookable resources?

  1. Add service items to your opportunity

  2. Go to the Services View and select the drop-down next to the service item you are sending the invite for

  3. Select ‘Invite’

  4. Use tick boxes to select bookable resources to send the invite

  5. Select a layout if more than one has been added.

  6. Type your Discussion message

  7. Select ‘Create Discussion’ to send the invite

  8. Use filters to narrow your search for bookable resources, and the tickboxes to select specific bookable resources to send the invite to.

Your bookable resources will receive an email containing the link to the service booking invite, which they can either accept or decline. Once the bookable resource has accepted or declined the invite, you will be notified in the Discussion. The system automatically allocates the bookable resource to the service when they accept the booking invite, which you can see in the Service View of your job. If multiple bookable resources are invited to a service position requiring only one resource, the system allocates the position to the first person who accepts the invitation. Once the position is filled, no further allocations are made for that service position. Additionally, if an invitee attempts to accept an invitation after the position has already been filled, they will be notified that the booking has been accepted by someone else, ensuring transparency. The system also enforces restrictions on self-invitation, preventing users from inviting themselves to a service position. Instead, logged-in users can allocate themselves directly to the job without sending an invitation.
