Allocate bookable resources to services to tell Current RMS which contact, user, vehicle or venue is going on this opportunity.

So you’ve quoted your customer for a service and they’ve accepted, now it’s time to allocate a particular bookable resource (i.e. a staff member, vehicle, or venue) to the service.

Get started

To allocate resources, head to the Services view and then click on the blue arrow to the right of a service and choose Allocate resources.

The allocate resources screen will appear. At the top, it shows the details of the service and the quantity that has yet to be allocated. 

If you have a lot of bookable resources, use the search box to search for bookable resources by name.

Beneath this, you’ll see a list of all of your bookable resources that are active, available to your store, and assigned as a bookable resource for this service. 

Allocate and deallocate your bookable resources by clicking the allocate or deallocate button underneath the bookable resource’s name on the left. 

Confirm your services

Confirming your resources is similar to preparing your items. It’s an optional stage that you might wish to use once you’ve had confirmation from your contact or user that they’re able to perform a particular service. 

Hit the Confirm button at the top of the services view, then tick the boxes of the services you wish to confirm. When you’re done, hit Confirm.

Book out

Booking out a resource tells Current RMS that this service is going ahead and is something you’d do when you’re sure it’s being carried out. Booking out a service is optional and only needed if it’s part of your workflow.  

For example, you could consult the services view before invoicing to remove any services that weren’t booked out in cases when crew members did not turn up on an opportunity or were not required. 

To book out, click the Book out button, tick the boxes of the services you wish to book out, and click the Book out button.

Other ways to allocate  

  • Use the Resource Planner
    Manage all of the resources across your business on one screen. Simply drag and drop to allocate or deallocate.

  • Edit opportunity item screen
    Edit an opportunity item and check the resource allocations section. This is an advanced way to set your allocations, especially handy for cases when you will need to have a mix of sub-contract resources and resources from your own stock.
