Do you find yourself doing the same job for the same client and wish you could just copy and paste the job without having to edit tons of information? Perhaps you have a charge or item that is standard with all your jobs but sometimes your team forgets to add this charge or item and have always wanted a way to have it automatically added to a job? The opportunity templates feature allows you to create multiple templates that you can save and use to create your opportunities.
How do the Templates work?
The information you add to your opportunity templates will always be carried over to the opportunities you create using the templates. For example, you can create a template then add a sale text item called "Standard Fee," then when you create an opportunity from this template the sale text item "Standard Fee" will be carried over exactly as it is on the template to the opportunity. Notes on the opportunity item will be carried over, as well as notes on the Description field of the opportunity. Opportunities are created bearing the templates state. If the template is a draft, then the opportunity will be created as a draft but can be converted to a quotation then order.
How do I create my Opportunity Templates?
To create your opportunity templates follow these simple steps below:
Go to Opportunities
Select "Opportunity Templates"
Click on the green "create" button at the top right
Select the state of your opportunity template (enquiry, draft, quotation, or order)
Fill in the fields and create
Once created then you can add your opportunity items
The opportunity items you add to the template will always be carried over to the opportunity created using the template. Below is an image of what your opportunity templates section could look like.
How do I use my Opportunity Templates?
Once you have created your templates they will be available to your users who have access to the opportunity module. To use any of your templates head to Opportunities> Opportunity Templates then select the template you wish to use for your opportunity.
Once you have selected the template to use, head to the Actions section and "create opportunity."
You can then modify your opportunity as and if needed.
