This is a guide on how to create opportunity templates to streamline your workflow and save time.

Do you find yourself doing similar or recurring jobs, and would like to do this without having to start from scratch each time? Opportunity templates allow you to create and work from an established framework, speeding up your ability to get quotes and confirmed orders out of the door.

How do the Templates work?

The idea is to create a standard list of items for a common rental or event. For example, you may create a 100-person corporate event template. All of the items, groups and descriptions will be copied over when you create an individual opportunity from the template. This will save you time and effort from recreating the same, if not similar, opportunities each time.

The template mirrors the opportunity state, so if the template is created as a quotation, when you create an opportunity directly from the template, it will also be created at the quotation stage.

How do I create my Opportunity Templates?

To create your opportunity templates, follow these simple steps below:

  1. Select Opportunities using the navigation at the top

  2. Select Opportunity Templates

  3. Click on the green Create button in the top right

  4. Select the state of your opportunity template: enquiry, draft, quotation, or order.

  5. Fill in the fields (only the subject is mandatory) and create the template

  6. Once the template has been Created, you can Add products/services to the template by selecting the Template and using the picker option above the items list.

The opportunity items you add to the template will be copied over to the opportunity created using the template. Below is an image of what your opportunity templates section will look like.

How do I use my Opportunity Templates?

Once created, your templates will be available to users who have access to the Opportunities module. To use a template, head to Opportunities > Opportunity Templates, then select the template you wish to use.

Once you have selected the template you want to use, head to the Actions section down the right-hand side and "create opportunity."

Once you have created the individual opportunity from the template, you can personalise the individual opportunity as needed for your client.

Common Questions

Do I need to add a customer to an opportunity template?

Customers are optional on opportunity templates. This is because you may want to create a template that is non-customer-specific.
